The position of Executive PA is required for the National Bargaining Council for the Private Security Sector in terms of its establishment Section 29(15)(a) of the Labour Relations Act as amended.

We are looking for a new Executive Assistant to support our Executive team. You will manage mostly business-related task for the team such as creating reports, organizing travel & accommodation, taking minutes and other organizational tasks.

Primarily manage and organize business-related tasks for the team such as creating reports, managing calendars, scheduling meetings and taking minutes.

Maintaining databases, producing reports and presentations, preparing expense reports, preparing comparison reports, screening visitors and telephone calls and filing and organizing documents also form part of the position.

The nature of the position demands a high level of trust and confidentiality and will have access to highly complex, confidential and sensitive information.

The person should be well organized, have excellent time management skills, work and act without guidance and be extremely fast at solving problems. It is a pre-requisite that there is a detailed understanding of the FULL Microsoft Office Suite.

The ability and willingness to work hours that suit the executives, their schedules and deadlines.

Ultimately, to contribute to the efficiency of our business by providing personalized and timely support to executive members.

Duties and Responsibilities:

  • Preparing financial statements, reports, memos, invoices letters, and other documents.
  • Answering phones and routing calls to the correct person or taking messages.
  • Handling basic bookkeeping tasks.
  • To support our executive team.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Performing office duties that include ordering supplies and managing a records database.
  • Experience as a virtual assistant.
  • Opening, sorting and distributing incoming faxes, emails, and other correspondence.
  • Provide general administrative support
